If you’re unfamiliar with our annual Expensify Offshore expeditions, we have a dedicated webpage here to help spark the flame! Otherwise, some tl;dr background:

  1. A complete Expensify Offshore spans four weeks, and occurs once per year. It is always opt-in, meaning any employee can elect not to attend, partially attend, or fully attend.
  2. The employees vote democratically on the destination, which at bare minimum must be internet-friendly and relatively easy on the wallet.
  3. The company coordinates and communicates the essentials, including general itineraries, to-and-from travel, basic lodging, and special events.
  4. Employees self-select to lead or support priority projects dictated by a mix of customer needs and personal interest. The projects are optional, supplementary to daily responsibilities, and ideally completed during the time abroad.

The Arrival

I was a couple days early to Expensify Offshore 2017 in Uruguay.

After six feature films in the nosebleeds of Copa Airlines and a taxi ride at the mercy of Google Translate, I stumbled out onto Montevideo’s Calle Blandengues around 2 AM local time. Historically, this was a Jewish neighborhood and absolutely worth a morning wander, so I left my curiosities for the moment in favor of meeting my Airbnb host, Ramiro.

New SmartScan Camera Flow

Hey there, I hope you had a great holiday season and that 2015 is off to a great start.  I won’t bore you with the details, but needless to say 2014 was a big year for us — most notably by adding 4000 new customers, including the BBB, ZenDesk, and most recently Yahoo!  At this scale of growth, just keeping the lights on is a lot of work.  But in addition to the mundane details of scaling a mission-critical, global-scale financial application processing $billions of expenses, I’m very happy to share details on our latest creation: our new mobile camera!  Continue Reading…

This week’s Expensifier of the Week is MSP Leadership, a London based company developing and inspiring leaders of all levels through executive coaching, leadership development and team development workshops.

MSP-Leadership was founded to push the limits of leadership in pursuit of excellence. A former Concur user, expense reports used to take time away from that. The MSP team used to “spend years scanning receipts and filling out spreadsheets,” says Director Aaron Penwill. With more complex reports on their horizon, they knew it was time for a change. You Autocomplete Me

While most expenses come into Expensify using our magic SmartScan feature, or via a credit card import, there are still some occasions where you might need to manually enter expenses. In case you ever have to do this, we’ve just made it a little bit easier, using merchant auto-complete.

“How do I use this amazing feature?”
Well, dear reader, just start typing the merchant name into our web app, and we’ll automatically fill in the most common matches. Pro-Tip: We’ll also do ‘fuzzy’ matching, so if you make a typo in the merchant name we’ll pick that up too.

One year ago, Expensify raised prices — the first time, ever — in order to get profitable.  That worked (thanks everyone!), but today is very different.  Today we are changing pricing in order to lay a foundation for a simpler and better product, even though the net effect of this change on our total revenue will be neutral.  This new pricing scheme is in effect today, and will first affect the 7/1 billing cycle.  Continue Reading…

Managing multi-page PDF receipts in Expensify is simple. To begin, just upload them as you would usually (forward to receipts@expensify.com or upload them to the site). Once uploaded, you are free to attach the PDF to an expense much like any receipt image. You’ll notice that the thumbnail image in Expensify only displays the first page; don’t worry, we’ve got the other pages too.

In order to view all receipt pages just open the ‘Edit Expense/Receipt’ window and click the ‘download’ button below the image. This will open the receipt, in its entirety, in another tab in your web browser.  Continue Reading…

Hey there, just wanted to share a couple quick points:

1) We’re enabling auto-SmartScan for everyone.** The new “trips” feature is an awesome way to track your itinerary… when it works. (Just forward itinerary emails to receipts@expensify.com, and SmartScan will put their details into the “Trips” screen in the mobile app.) But the top reason for it not “working” is auto-SmartScan being disabled by default. So we’re switching the default to ensure trips works “out of the box”. Sorry for any confusion on this!

2) We’ve integrated with ADP (and other payroll systems), so now you can reimburse expense reports on the employee’s paycheck. Enjoy! http://wp.me/pBzL2-JC

In other news: did you know Expensify just crossed the coveted million-user mark? It’s sort of a big deal. Especially since we did it with essentially no advertising and minimal investment, while having a ton of fun. We considered doing some big hoopla around it like everyone else seems to; but at the end of the day, it’s just a number. I’m much more excited about trips, SmartScan, ADP support, and just getting your next report reimbursed quickly and accurately, every single time.
