Reporting live from Xerocon London!

Slack for iOS Upload

February has been a very UK-centric month for Expensify so far. Last week, we officially launched our UK office, and this week we’re attending Xerocon London and hosting our UK launch event. We’ve been having a great time so far, meeting amazing Xero partners and Add-ons. While we’re revelling in the buzz of the Xero ecosystem, we’re really excited to announce our latest upgrade to our Xero integration.  Continue Reading…

Duplicate expenses are a pain for everyone, so we’re finally doing something about it.

The Problem

Whether intentional, or not, duplicate expenses are an issue. Duplicate expenses create more work for both the submitter and the approver. They are a core task in auditing to be sought out and destroyed!

The Solution

Hey there, it’s Matt from the Success Coach team in Expensify. Straight off the success from our Real Time Expense Report feature launch, you can now import Items from QuickBooks Online and use these Items in place of categories for expenses on your policies. Items are an excellent way to allow for greater reporting in QBO.

To quote Deborah Defer, Senior Director of Accounting Services at BDO:

“Small businesses may have the need for additional reporting.  Utilizing multiple feature sets of QuickBooks Online with invoicing customers, classing, items, locations, and items on vendor bills provides the ability to create customized  reports.  This is huge!”

Expensify covers a variety of reimbursable and non-reimbursable expense types. With mileage being such a common form of reimbursable expense, we’ve worked to improve the functionality in order to make it not only easier for the user, but for the admin and for accounting purposes as well.  Continue Reading…

Hello! It’s Conor here from the Expensify Success Coach team. On top of our major mobile app update, our slick policy editor re-design and the addition of SAML support, we’re really excited to introduce a much-requested new feature: Per Diem limits.

Hello! Conor here from the Success Coach team in Expensify. We’re pretty keen on shaking things up when they need a shake, and we’ve recently updated the look of our expense reports and the mobile app SmartScan flow for the better. We’ve also been working hard to prepare for the Real-Time Expense Report revolution, with the eventual goal that an employee won’t need to do an expense report at all, it’ll all just happen. All of this required that we re-think how we organize the policy editor and tidy things up.  Continue Reading…

You Autocomplete Me

helpatexpensify —  December 29, 2014 — Leave a comment

While most expenses come into Expensify using our magic SmartScan feature, or via a credit card import, there are still some occasions where you might need to manually enter expenses. In case you ever have to do this, we’ve just made it a little bit easier, using merchant auto-complete.

“How do I use this amazing feature?”
Well, dear reader, just start typing the merchant name into our web app, and we’ll automatically fill in the most common matches. Pro-Tip: We’ll also do ‘fuzzy’ matching, so if you make a typo in the merchant name we’ll pick that up too.

Magic.

Hey there! It’s Conor again, one of the Success Coaches at Expensify. Ours is a new team, dedicated to ensuring expense reporting happiness for our customers. This week, we’re following-up a previous announcement by expanding our corporate card export support to NetSuite customers too. This great feature allows you to export transactions to specific company card sub accounts in NetSuite.

Our great two-way integration with NetSuite already supports exporting to journal entries and expense reports, and with this update we’re supporting greater flexibility and enabling our customers to work even more effectively.

Hey there! My name is Conor, one of the Success Coaches at Expensify. Ours is a new team, dedicated to ensuring expense reporting happiness for our customers. This week, we’re proud to bring users of our QuickBooks Online integration a great new feature: export to credit card sub-accounts!

Those familiar with QuickBooks Online and Expensify will be aware that early this year we switched over to Intuit’s new API. With the new integration, we significantly reduced the amount of time customers spent exporting from Expensify to QuickBooks Online, improved the stability of the integration, and added support for vendor bills and billable expenses. Overall, our customers loved this new connection and took full advantage of it.  Continue Reading…

Expensify user Camp Kesem is a college student run summer camp for kids with a parent who has (or has had) cancer. Their one-week sleep away camps are a chance for kids to have a fun-filled week and just be kids.  The student volunteers at their 37 chapters work year-round to plan and implement every aspect of camp – in addition to raising thousands of dollars and developing leadership skills.

I recently had a chance to talk to Rachel Firestone, Camp Kesem’s National Program Director, about how they use Expensify and the benefits it provides for them.

Expensify allows us highly organized oversight of expenses and streamlines our reimbursement process.  Before Expensify, volunteers at our 37 chapters would send us countless emails with receipts and reimbursement information – often with mathematical errors or missing information.  Now it is easy for them to “fill in the blanks” so to speak, to make sure we get all the info we need, plus the totals are summed automatically.  They can even snap a photo of their receipt with the Expensify smartphone app!  Additionally, when we do spot an error, it is easy to reject the report, include our feedback, and have the volunteers resubmit after making any necessary changes.  On top of all of that, our accountant loves the way it interfaces with QuickBooks, making reconciliation a much less daunting task. ~ Rachel Firestone – Camp Kesem National Program Director

Bringing joy into these kid’s lives! Who could have a problem with that?

With so many locations spread out across the country, and a regularly rotating staff, the intuitive systems Expensify can provide offer a large benefit to an organization such as Camp Kesem.

Camp Kesem Kids. Happy to just be kids!

Training is minimal and people are able to get quickly up to speed and spend their time helping kids rather than scratching their heads looking at a computer. We couldn’t be happier to play whatever small part we can in furthering Camp Kesem’s important mission!

I want to thank Rachel and Camp Kesem for agreeing to be featured here in How Do You Expensify.  If you would like to be featured here, or if you have any questions about how Expensify can help to bring this kind of ease in expense reporting to your organization, please feel free to contact us at help@expensify.com at any time. We are always happy to help. And if you have a free moment please take look at Camp Kesem and the great work they are doing across the country!  I think you will be impressed!
