Pro-Tip: How Do You (Trial) Expensify?

Expensify is always free for individual users (including 10 free SmartScans per month), but let’s say that you’d like to give it a try, company or department-wide. What do you do? Ask us for a trial? You can, or you can just go for it! You can set up Expensify in just 3 steps.

Expensify only charges companies for the employees that actually use Expensify – we call these employees “active users”. An active user is someone who has submitted one or more expense reports in a given month. On both our Team and Corporate plans, Expensify offers two ongoing, free active users per account for trialling and general “thank you to our users” purposes.

What this means is that you can fully test out Expensify within your company for free. You’ll also have full access to our dedicated, helpful support team to advise you on company set up, general use, and anything specific to your company’s expense reporting process. To get started:

1. Sign up

Go to www.expensify.com, enter your email address, click ‘Sign up’.

2. Upgrade your account to the Team or Corporate plan

Once you’ve logged in, click the ‘Upgrade’ link in the top right hand corner. Choose either the Team or Corporate plan. For the vast majority of QuickBooks users, the Team plan is perfect. If you’re using an enterprise level accounting software, the Corporate plan is for you. If you’re still not sure which to choose, email us at help@expensify.com and we’ll get you on the right track.

3. Set up your company (Create an expense policy)

To set the rules of your expense policy, invite your trial users, and connect to your accounting software you’ll need to setup a policy. Details on setting up a policy can be found on our Company Setup page or by attending one of our weekly live webinars on company setup.

    In our honest opinion, disregarding your company size, it’s always a great idea to supply your audience with a free trial. In user perspective, it proves the quality of the product (or service.)

    unfortunately, if you try the “free” trial you can’t return to the “free” version. I don’t need the features, but now I have to pay to continue working with the “free” version. A little “bait & switch?” Didn’t find this out until I already input my October expenses. And, there is now no way I will recommend that my employer uses Expensify for the employees even though I’ve been “selling” it as a great tool. Oh, well……time to look for another tool, even if I have to pay for it, provided the next company is more transparent in its “free trial” offer.

    To downgrade your plan to the Free version, simply delete the policy you created.
