Hello!  I hope you’re enjoying the height of summer (or winter) wherever you are.  I just wanted to give a quick update on some incredible progress with one of our lesser known but increasingly important features: receipt integrations.

Just one year ago (almost to the day!), we launched our first round of receipt integrations. Our vision was to eliminate paper receipts by importing them into Expensify directly from the most commonly expensed merchants, such as Uber, HotelTonight, and Revel Systems POS. We added Lyft to the roster last week, and the receipt fire still burns! Here are our five newest receipt integrations, all focused on smoothing the pains of business travel:

It’s always a thrill ride when an Expensify customer becomes an Expensify partner, so buckle up!

We’ve partnered with Lyft to make expensing business rides automatic and touchless, like your favorite Sunday carwash. When your Lyft ride is complete, your ride receipt will automatically populate in Expensify for easy expensing – no clicks or taps necessary!

Expensifiers at Pecana cafe in Montevideo, one of our favorite 10 AM spots

If you’re unfamiliar with our annual Expensify Offshore expeditions, we have a dedicated webpage here to help spark the flame! Otherwise, some tl;dr background:

  1. A complete Expensify Offshore spans four weeks, and occurs once per year. It is always opt-in, meaning any employee can elect not to attend, partially attend, or fully attend.
  2. The employees vote democratically on the destination, which at bare minimum must be internet-friendly and relatively easy on the wallet.
  3. The company coordinates and communicates the essentials, including general itineraries, to-and-from travel, basic lodging, and special events.
  4. Employees self-select to lead or support priority projects dictated by a mix of customer needs and personal interest. The projects are optional, supplementary to daily responsibilities, and ideally completed during the time abroad.

The Arrival

I was a couple days early to Expensify Offshore 2017 in Uruguay.

After six feature films in the nosebleeds of Copa Airlines and a taxi ride at the mercy of Google Translate, I stumbled out onto Montevideo’s Calle Blandengues around 2 AM local time. Historically, this was a Jewish neighborhood and absolutely worth a morning wander, so I left my curiosities for the moment in favor of meeting my Airbnb host, Ramiro.

“Open booking”, “invisible spend”, “leakage” — these are terms that cause travel managers to break out into cold sweats.  And with good reason: employees who book outside the “managed” travel system miss out on negotiated rates, quietly slip through the travel policy cracks, or find themselves out of luck when SHTF.

Combating this has always been hard, and the explosion in “unmanaged” travel options hasn’t helped.  In fact, it’s steadily increased the temptation for employees to go rogue, making it harder than ever for travel managers to provide control travel spend and execute on duty of care obligations.  Thankfully, help is on the way.  Continue Reading…

You might have read recently that we added merchant auto completion to some parts of our product.

Merchant Auto completion

Merchant auto completion on the new expenses dialog

This “simple” addition required some thinking on how people are using our product and what would be the best experience for them.

Like every product change, it is crucial to define how important this feature is and how important the flow supported is. Editing the merchant name of an expense is part of the expense editing flow. While important, this is kind of a secondary flow for us. We are optimizing the usage of our SmartScan and bank import technologies to automate the process of creating expenses in an user account. By using these two technologies in conjunction with Expense Rules, Continue Reading…
